Bulk restore backed-up emails

With the Email Backup add-on, you can restore a group of emails in a single action. Restore an email folder or a user's entire mailbox.

Required: If you want to restore a specific message, search for it before continuing with a bulk restore. You'll avoid filling your mailbox with unwanted messages.

Restore a folder

If you don’t want to restore a full mailbox, you can restore the folder where the email was saved.

  1. Sign in to Email Backup.
  2. Select Exchange.

  3. Under Individual Mailboxes, select a user’s name. A list of folders from the user's mailbox will display.

  4. Next to the folder you’d like to restore, select the checkbox, and then Restore. You’ll see a success message confirming that the folder was restored.
    • If the restoration fails, an error message will display. You can open the error message and see why the restoration failed, like if there’s already one in progress, and retry it.

  5. In the new window, select Continue. You'll be back on the Exchange page.

Restore a full mailbox

When you restore a full mailbox, the existing one is compared with the backup to put missing items back in their original location. You can also follow these steps to restore all contacts, calendars, tasks, notes and journals.

  1. Sign in to Email Backup.
  2. Select Exchange.

  3. Under Individual Mailboxes, find a user.
  4. Next to the user, under Actions, select the menu.
  5. In the menu, select Restore Mailbox.

  6. Select one of the following options:
    • Point-In-Time Restore: Select this option if you want to restore your mailbox’s backed-up messages from a specific date. This is helpful if you don’t want to fill up your mailbox with old messages.
    • Full Mailbox Restore: Select this option if you want to restore all the mailbox’s backed-up emails.
      Note: Before choosing this option, please note that it could fill up your mailbox, which might prevent you from sending and receiving email.
  7. Select Restore Mailbox.
  8. In the new window, select Confirm. You’ll see a confirmation message after the restore is successful.
    • If the restoration fails, an error message will display. You can open the error message and see why the restoration failed, like if there’s already one in progress, and retry it.

The restoration can take some time, depending on the size of the restored data and Microsoft 365 server availability. You might not see that a restoration is in progress until the content shows up in your mailbox.
